Job Summary QUALIFICATIONS: (1) High school diploma or equivalent.
(2) Diversified office experience preferred.
(3) Post-secondary training in business office education preferred.
(4) Computer proficiency.
(5) Must meet background clearance requirements as specified by Alabama statutes and State Board of Education regulations.
KNOWLEDGE, SKILLS AND ABILITIES: Ability to communicate effectively, both orally and in writing, using correct grammar, spelling and business English. Ability to deal effectively and courteously with students, school personnel, and the general public. Knowledge of office practices and procedures, grammar, spelling, system policies, and business correspondence. Knowledge of the operation and programs of the school system. Knowledge of simple accounting and bookkeeping procedures. Ability to plan, organize and establish priorities related to assignment. Ability to handle sensitive information in a confidential manner. Ability to handle multiple tasks in a professional and courteous manner. Ability to answer a telephone in a professional and courteous manner. Ability to work cooperatively with others.
REPORTS TO: Principal
JOB GOAL To ensure the smooth and efficient operation of the school office so that the office's maximum positive impact on the education of children can be realized.
SUPERVISES: N/A
PERFORMANCE RESPONSIBILITIES: *(1) Serve as secretary and administrative assistant to the principal by arranging appointments, taking calls, answering inquiries, composing and typing routine correspondence and memoranda.
*(2) Furnish information and assistance to students, parents, teachers, and other interested parties.
*(3) Type a wide variety of records, reports, memoranda, and teaching materials.
*(4) Type disciplinary letters to parents, School Board, and Superintendent's office.
*(5) Maintain inventory and textbook records if assigned.
*(6) Prepare requisitions for supplies and equipment, field trips and work orders.
*(7) Keep time records and prepare payrolls.
*(8) Maintain internal accounts and prepare financial reports if assigned.
*(9) Perform school bookkeeping tasks using adopted bookkeeping program if assigned.
*(10) Receive, deposit, and disburse school monies.
*(11) Operate duplicating equipment and other office equipment.
*(12) Secure substitute teachers.
*(13) Coordinate and monitor the work of clerical assistants.
*(14) Demonstrate initiative in the performance of assigned responsibilities.
*(15) Meet and deal effectively with the general public, staff members, parents, administrators and other contact persons using tact and good judgment.
*(16) Follow attendance, punctuality and appropriate dress rules.
*(17) Ensure adherence to good safety standards.
*(18) Maintain confidentiality regarding school/workplace matters.
*(19) Model and maintain high ethical standards.
*(20) Maintain expertise in assigned area to fulfill position goals and objectives.
*(21) Participate successfully in the training programs offered to increase skill and proficiency related to assignment.
*(22) Exercise service orientation when working with others.
*(23) Keep supervisor informed of potential problems or unusual events.
*(24) Use effective, positive interpersonal communication skills.
*(25) Respond to inquiries and concerns in a timely manner.

*Essential Performance Responsibilities
PHYSICAL REQUIREMENTS: Light Work: Exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force as frequently as needed to move objects.

TERMS OF EMPLOYMENT: Salary and benefits shall be paid consistent with the system's approved compensation plan.
Length of the work year and hours of employment shall be those established by the system.
