** This is a Full-Time, Benefits Available, CONTRACT position that is expected to last 3 months or longer!**

Job Summary:

As a Temporary Mail Room Specialist, you will play a critical role in ensuring efficient mail room functions and compliance monitoring. The Mail Room Specialist is responsible for documenting procedures related to mail room operations, coordinating data submissions, and identifying and resolving data discrepancies. This role is essential in maintaining the integrity of mail room processes and contributing to the organization's mission of providing quality services.

Job Requirements:

Education and Experience:

  • Required: Associate's Degree plus 1 year of relevant experience, or equivalent experience.
  • Preferred: Associate's Degree with 5+ years of relevant experience.
  • Experience working with Medicaid and Medicare eligibility requirements and enrollment-related regulations and processes is preferred.

Skills and Abilities:

  • Competence to work independently, prioritize tasks, manage multiple activities, and meet strict deadlines.
  • Demonstrated ability to coordinate work with team members and third parties.
  • Strong analytical and problem-solving skills.
  • Excellent verbal, written, and listening communication skills.
  • Proficiency in Microsoft Word and Excel; database skills are a plus.
  • Proficiency in English.
  • Familiarity with standard office equipment.

Responsibilities:

  • Coordinate file transactions to and from mail room vendors as needed.
  • Operationalize new fulfillment vendor implementation requirements.
  • Monitor and enforce adherence to all corporate policies and governmental regulatory compliance as directed by company policy and procedure.
  • Analyze procedures and recommend/implement changes to improve performance and maximize efficiency opportunities.
  • Collaborate with other departments, senior management, and compliance to ensure version controls.
  • Collect, develop, and analyze data regarding increases associated with membership growth.
  • Provide data and reports to the manager on fulfillment operations and accomplishments.
  • Investigate mailing data discrepancies using various internal and external systems to identify correct information and resolve discrepancies.
  • Execute all reconciliation activities meticulously and accurately, proactively identifying inaccuracies in data of all types.
  • Coordinate return mail reconciliation and work with identified staff to resolve discrepancies, identify trends, and escalate as needed.
  • Research and respond to information requests from contracted vendors.
  • Perform other duties as assigned.
