Job Title: Administrative Assistant Dietary Supplements

Location: City of Industry

Department: Operations / Administration

Reports to: Plant Manager or General Manager

Position Summary:

We are seeking a highly organized and detail-oriented Administrative Assistant to support the daily operations of our dietary supplement manufacturing facility. This role is responsible for office coordination, documentation management, vendor communication, and administrative support across departments. The ideal candidate is proactive, efficient, and able to thrive in a fast-paced, team-oriented environment.

Key Responsibilities:

  • Handle day-to-day administrative tasks including scheduling meetings, managing office supplies, and filing documentation.
  • Support HR and operations with onboarding paperwork, timekeeping, and employee records.
  • Prepare reports, data entry, and maintain organized digital and physical filing systems (e.g., batch records, QA/QC logs).
  • Assist with procurement coordination, vendor communication, and invoice processing.
  • Maintain communication between departments (production, QA/QC, logistics) to ensure smooth office workflow.
  • Greet visitors, answer phone calls, and manage incoming/outgoing correspondence.
  • Support regulatory and compliance teams with document preparation and submission (e.g., SOPs, audit prep).
  • Coordinate team events, staff meetings, and basic office management duties.
  • Translate or assist with bilingual communication (English/Chinese or English/Spanish) as needed.

Qualifications:

  • High school diploma or equivalent required; associate degree preferred.
  • 2+ years of experience in an administrative or office assistant role, ideally in a manufacturing or operations setting.
  • Proficiency in Microsoft Office (Excel, Word, Outlook); experience with ERP systems a plus.
  • Strong attention to detail, time management, and organizational skills.
  • Excellent written and verbal communication abilities.
  • Bilingual in English and Chinese or Spanish is highly preferred.
  • Ability to handle sensitive information with discretion and professionalism.

Physical Requirements:

  • Ability to sit at a desk and use a computer for extended periods.
  • Occasionally lift office supplies or documents up to 20 lbs.
  • Flexibility to move between office and production areas as needed.
